I T Commercial Support Analyst / P A Banking Sector Manchester City Centre £;12-£;15 per hour Temp to perm We are currently looking for a P A to work for a well established organisation within the City Centre. This vacancy is initially 3-six months temporary but can go permanent for the best job seeker. Purpose: to support and help the Head of I T Service Delivery and C T O in meeting his/her business objectives by offering a broad range of secretarial and administrative support. This involves coordinating all activities related to the Director / Head of Function including resolving a broad range of queries and issues, summarising responses on behalf of the Director / Head of Function where appropriate and following up on all relevant actions. In addition to provide support to the management team and wider department. to support and help and assist the I T Supplier Management function with the governance of third party technology suppliers, some of which are aligned to the M O O M, all of which should adhere to the Supplier Management Framework. To provide a broad range of administrative activity to ensure the supplier management function is well established and processes are produced updated on a constant basis and communicated across the Bank. Key Accountabilities: Customer to support and help the business leader through the production of high quality documentation and to provide input where required including advising the business leader of the most effective and appropriate method of presenting information and ensuring the timely production of documents and supporting information. To proactively propose initiatives/improvements that will enhance leadership support generally and the business unit specifically. To act as a representative of the business leader's office when greeting and accommodating visitors or dealing with telephone calls ensuring that the business leader's time is managed effectively. To prepare documentation and agendas for meetings and attend meetings as appropriate in order to take minutes and ensure all actions are accurately recorded and followed up. to support and help the coordination of departmental projects and initiatives Ensure the agreed governance, processes and standards are maintained and adhered to for requests for I T spend against the run budget Assist the Team Managers in the production and maintenance of plans relating to supplier management activity People/Leadership To work collectively and flexibly with both colleagues within C O O and the Executive P A to provide effective support to Director / Head of Function. Co-ordinate the production of all reports and produce monthly summary reports. Financial / Commercials. Implement the travel policy and expenses policy of the Bank across the department. Manage and coordinate the purchase and usage of stationary across the department Management of P Os, tracking when renewals are due, tracking forecasts against actuals and helping to highlight cost reduction opportunities Manage service requests, validating the requests and approving in a timely fashion Assist the supplier management function to highlight where cost reductions can be made through a variety of sources they will encounter during supporting the function. Risk and process Manage complex and demanding diaries, anticipate and coordinate travel arrangements, facilitating the most effective use of the business leader's time and reconciling conflicting demands. Define and document procedures in accordance with the supplier management framework Advise and assist team members in the application of project procedures, disciplines and recording and reporting standards. Decision Making/ Freedom to Act: The post holder has to take the initiative to address and expedite activities of the business leaders office that will enable the business leader to focus their attention on core and necessary work. The post holder can identify efficiencies in governance processes and implement with the support of the business leaders and their management team. Knowledge, Skills and Experience Required: A relevant qualification or equivalent experience - minimum 3 years' experience supporting a business leader in a complex organization. A good understanding of the support requirements of a business leader in a financial organisation. A track record of understanding the business requirements of a business leader to enable the delivery of effective support. Successful track record in offering timely and efficient support to a business leader and being productive in doing so. Expert level use of electronic communications, document management systems, expense systems, word undertaking and processing, spread sheet and presentation software. High level of tact and integrity and ability to negotiate confidently and professionally at all levels Understands sensitivity of high public profile relationships Manages own workload. very experienced at managing governance, activity includes managing meetings, producing documentation distributing minutes, chasing actions, tracking changes, flagging potential issues with the leadership team.
